Buying a Commercial Coffee Machine — A Practical Guide for Business Owners. 

Getting the right commercial coffee machine is one of the more important purchasing decisions a hospitality business makes. Getting the type, capacity and setup right first time matters — the wrong decision can be a costly one.

This guide covers the two things that matter most: choosing the right machine for your business and making sure your site is ready to receive it.


Part One — Choosing the Right Machine

What type of operation are you running?

This is the first question to answer. A coffee shop with a trained barista and a queue of customers who expect craft espresso has completely different requirements to a hotel breakfast buffet or a care home serving staff and residents. The machine that suits one will not suit the other.

There are three main types of commercial coffee machine, and each suits a different environment.


Traditional espresso machines

These are the machines you see on the counters of independent coffee shops — multigroup, stainless steel, operated by a barista who controls grind, dose, extraction time and milk texture. Brands such as Expobar, Crem, Astoria and Gaggia produce machines in this category ranging from compact single group units to high-output three and four group workhorses.

They produce excellent coffee in the hands of someone who knows what they are doing. They require training, consistent maintenance and a properly prepared site. If your business genuinely puts coffee at the centre of its offer and has or plans to have trained staff, a traditional machine is the right choice.


Bean-to-cup machines

Bean-to-cup machines are designed to deliver consistent results without specialist skills, making them well suited to self-service environments, offices, leisure centres, hotels and any setting where speed and consistency matter more than barista craftsmanship. Modern machines from brands such as Jura produce genuinely good coffee — this is not a compromise. It is simply a different tool for a different job.


Filter and batch brewers

For operations that need to serve a lot of coffee quickly — breakfast services, conference venues, staff canteens, grab-and-go counters — filter and batch brew machines are the practical choice. They brew large volumes into insulated containers that keep coffee at serving temperature without burning it. Crem produce reliable machines in this category that suit exactly these environments.


How many cups per day do you need to serve?

This is where operators often get caught out. A single group traditional espresso machine has a practical output limit. Push it beyond that and quality suffers, the machine runs hot and maintenance requirements increase. Be realistic about your peak service period — not your average — and choose a machine with enough capacity to handle it comfortably.

As a rough guide:

A single group traditional machine suits lower volume settings or operations where espresso is an add-on rather than the main event. A two group machine suits a busy independent café or restaurant. Three and four group machines are for high-volume operations where the coffee queue is constant.

For bean-to-cup, individual product listings will specify daily cup output — check this figure carefully against your realistic daily volume.


Do you have a trained barista?

If yes — a traditional machine gives you the control to produce excellent coffee and justify a price point to match.

If no — a bean-to-cup machine will serve you better. Putting a traditional espresso machine in the hands of untrained staff produces inconsistent coffee, unhappy customers and a machine that takes a beating.

There is no shame in choosing bean-to-cup. For many operations it is simply the smarter choice.


What is your budget?

Commercial coffee machines are an investment. A well-chosen machine that suits your operation will earn its keep many times over in margin on every cup served.

Entry level traditional espresso machines start from around £1,450 plus VAT. High-specification multi-group machines can run to considerably more. Bean-to-cup machines vary widely depending on daily output capacity and features.

Part Two — Getting Your Site Ready

Choosing the right machine is only half the job. The site needs to be ready to receive it — and this is where problems most commonly occur.

Delivery

Delivery is kerbside to a ground floor location unless otherwise agreed, and someone must be available on site to accept it. For engineer deliveries, please be prepared to assist with moving the machine from the vehicle to its final location — larger machines in particular may need more than one person to help with positioning. Check parking, loading access and any site restrictions before delivery day.

Power

Single group traditional espresso machines typically run on a standard 13amp plug. Two, three and four group machines commonly need a dedicated 32amp single phase supply. This is not a minor detail — if that supply is not in place on installation day, the engineer cannot complete the installation and an aborted visit charge will apply.

If your machine uses a separate grinder rather than an integral one, you will need an additional power supply for that — check the specification of your chosen grinder for the exact requirement. Keep the fuse board accessible and the relevant breaker clearly labelled so the engineer can safely isolate the supply.

Water

You need a mains cold water supply terminating in a suitable appliance isolation valve close to the machine location. Installers cannot tap into an existing supply such as a sink or dishwasher feed. A pressure reducing valve is also worth fitting to guard against pressure fluctuations that can cause leaks.

Waste

You need a suitable trapped waste with upstand close to the machine location — check the specification of your chosen machine for the exact requirement.

Worktop and Access

The worktop must support the machine weight and stay stable during operation. Depending on your setup, you may need an access hole beneath the machine for water, waste and power feeds — check the specification of your chosen machine for guidance on this. Engineers cannot carry out any worktop preparation work. Check door widths, corridors and counter access before delivery day.

Water Filter

Every traditional espresso machine needs a CTU — Calcium Treatment Unit — also known as a water softener or water filter. Allow space beneath or near the machine for this unit and replace it on schedule to protect the machine and keep the warranty valid.


On installation day

All services must be fully prepared before the engineer arrives. They are authorised to connect to correctly prepared services only — they cannot carry out plumbing, electrical or building work. If the site is not ready, an aborted installation charge will apply and must be settled before a new date can be booked.

If training is included, have your coffee beans, cups and relevant staff ready on the day.
